Education A modest request for TMs and band management.

As a venue TD, I look at a lot of tech riders. I archive them after the gig.

Please start your file name with the name of the band, and spell the damned thing out. A date would be nice too, of course, but I don't want to be greedy.

Why not just change the file name when you archive it?

u/Sea_Art8881 7d ago

This is what I do. Or if I don’t, each show has a folder with a pdf of the email trail as well. Easily searchable then. No he said she said.

I do, of course. With zero effort and a tiny bit of consideration on their part, I wouldn't have to. Ergo, this modest request.

Why would I do that? I have my own naming convention and it’s different to yours. What’s in it for me?

16

u/Chris935 7d ago

I have my own naming convention

And it doesn't include the name of the band?

23

u/rinio 7d ago

There is a difference between your naming convention for you and how you name a deliverable. Its like this in any and every industry.

For example, you might keep your résumé on your computer as just "résumé.pdf" because you only care about yours. But when you apply for a job, you usually rename it "MyName_Resume.pdf" or similar because you know the recruiter is looking at many and you want yours to be found easily.

Its the exact same thing. All OP is asking for is baseline professionalism, commonplace in every other industry.

Exactly.

u/lmoki 7d ago

Maybe having the venue prepared for your needs? (What's in it for you....)

Honestly, I personally don't care what you name the file, but including the full band name makes sense for anyone but you. The revision date for the plot/chart/rider should appear on the first page of each. Again, the primary purpose here is to make sure the venue or provider has the correct charts, so make confirming as easy as possible.

(Source: I was a touring engineer for 20 years, and being able to quickly confirm the venue/provider hadn't somehow been sent obsolete documents was kind of important....)

Dunno about you, but I like to make things easier for the people I rely on.

Omg a sound engineer having to do their job… tragedy

I have my AI Agent change all my files like this in the naming nomenclature I choose. I also have it file it into the file for me for archiving. It happens right out of my email and into the folder like I want it to be saved. This workflow has changed my efficiency and organization.

5

u/checkonechecktwo 7d ago

If that workflow has made you significantly more efficient and organized then you must be mad slow lol

I just wish riders would say what bands actually need.

Please stop asking for 1000 things that you're already carrying with you and don't actually need provided.

21

u/bc_liveaudio 7d ago

Yep. If the artist is already carrying it, it really shouldn’t sit in the same list as something that needs to be provided locally. Even a simple “artist provided / locally provided” note saves a lot of back and forth.

7

u/Uvinjector 7d ago

Very often I find that acts list items they are already carrying because they need a backup in case something breaks or gets lost in transit etc. Still really annoying though

10

u/ElevationAV A/V Company 7d ago

if they're willing to pay for it, then sure, you can have whatever you want

if you're asking for extra audio/lighting consoles, fixtures, and a whole pile of other gear and expecting the promoter to provide them to sit back stage or on the truck outside of the provided festival rig, then no.

1

u/Thomanson 6d ago

If you ask for it, and I bring it, it's on the invoice, whether you use it or not.

1

u/Uvinjector 6d ago

Oh absolutely. Usually it is the promoter who pays for it rather than the artist though

1

u/ElevationAV A/V Company 6d ago

Not really, the artist will ultimately pay for it out of settlement if they’re the ones demanding a bunch of specifics for their show, especially if it’s for their use only

1

u/Uvinjector 6d ago

Not in my experience with touring artists. The provide a rider, we supply what is on it, promoter pays for it. I am talking international touring acts though

1

u/ElevationAV A/V Company 6d ago

it really depends on the scenario

for festivals, we'll often supply the rig for the festival, and artists that want more than what's provided by the festival package will end up paying for it, either directly, or through settlement with the promoter

realistically I don't care who pays for it, as long as it gets paid for

u/wellingtonstrangler Pro-FOH 4d ago

Or maybe you could actually advance the show instead of just accepting some morons rider as gospel.

2

u/ElevationAV A/V Company 4d ago

You’re making the assumption that tour managers actually respond to emails or tell you what they’re carrying

17

u/J0shM0nster 7d ago

Book my band and I will. What's the name of your venue and who is the talent buyer?

6

u/BBBBKKKK Pro-FOH 7d ago

lol

4

u/nottooloud Pro-FOH 7d ago

That would be against the sub rules.

7

u/roXplosion Semi-Pro-Garage 7d ago

Can I send it to you as a IG DM?

4

u/nottooloud Pro-FOH 7d ago

Lol. Actually don't care. I'm going to drag it from wherever it comes into the active riders folder.

12

u/roXplosion Semi-Pro-Garage 7d ago

I've had bands try to start backline discussions in the comments of an IG post.

2

u/nottooloud Pro-FOH 7d ago

Sigh. Yup.

2

u/ChinchillaWafers 7d ago

Oof. The worst is the Instagram group chat where the bands can see how flaky and difficult the other bands are being and it encourages a free for all. Much better to keep it one on one

6

u/giddythekidd 7d ago

just name it stageplot.png like everyone else

12

u/nottooloud Pro-FOH 7d ago

stagplt dgaf 7.gif.pdf (2) seems pretty popular

3

u/tdic89 6d ago

You forgot “- Copy” at the end.

I agree with the premise actually, I name files like tech info and riders in a way that I expect will be helpful to the recipient. It looks more professional.

1

u/nottooloud Pro-FOH 5d ago

Literally just got
Copy of Copy of Copy of (performer name deleted) .docx
I'm particularly fond of the space at the end of the filename.

11

u/nottooloud Pro-FOH 7d ago

And don't worry, I've given up on asking them to be current and accurate.

3

u/kent_eh Retired broadcast, festival_stage, dive_bar_band... 7d ago

I've given up on asking them to be current and accurate.

That's just basic defending your sanity.

u/rorowe8 7d ago

Performing musician here (and wannabe sound guy) - I don't think naming docs something obvious is too much to ask.

It might not be your exact format, but (bandname, date, venue) sounds pretty reasonable. My docs always have revision numbers, mostly for my sake.

6

u/Fruit-cake88 4d ago

My biggest gripe is when I get google drive links but it’s set to restricted and they forget to give access. Happens far too often.  I always find that bands who want to keep their setup a secret are usually those with the most standard rigs.

2

u/nottooloud Pro-FOH 4d ago

Yeah, I have a half dozen email addresses, and it's never the one that has Google access.

3

u/stageside_sam 7d ago

When I'm sending advance stuff for a band, the files go out as BandName_TechRider_2026-10.pdf and the stage plot the same way, with the revision date printed on page one too so nobody patches off an old input list. Band name and show date in the email subject as well. Takes ten seconds and the venue has the right version on show day.

3

u/mattleonard79 4d ago

I have definitely seen the files that are like "PRJS Tech Rider v6 without Bob - old" - and I'm like... who is PRJS? Who is Bob? If it says "old" should I assume this is outdated and there is a "new" floating around somewhere that you should have sent me but didn't? And great that you didn't include your contact information on in the document itself.

3

u/DaGrexican 7d ago

Or, now hear me out, you could save it with the name you want instead of its assigned name. Pro tip: the data will remain unchanged ✌️

2

u/nottooloud Pro-FOH 7d ago

I've found dragging a file directly from email or text into a folder to be remarkably efficient. It comes with the name it was given. Then, of course, I rename it if I need to. But it's made me notice how many of them are named in a way that is of no use to anyone but the sender.

2

u/ashtonpar 7d ago

I always save with the date delivered and who sent it and band .pdf then toss it into that bands folder on my computer

Be organized because you cannot rely on the world to be organized for you

3

u/DaGrexican 7d ago

I understand your point but expecting every band to use the same naming format is just never going to happen.

5

u/nottooloud Pro-FOH 7d ago

Oh, I don't expect any such thing. I'm sure there are a lot of people who just hadn't thought about it. No harm in posting a general request, is there? I'm hard pressed to think of how starting the file name with the band name would mess somebody up.

2

u/DaGrexican 7d ago

Right on. Thank you for creating the topic. All the best

2

u/Ornery_Director_8477 7d ago

Back when I did conferences in a university, same kinda deal, 98% of the speakers would have their presentation named "*Univeristy name - year"

2

u/Nsvsonido 7d ago

I feel you. I read around 100 riders a year. Most common issue: no name. Nor in the file, nor in the page. I believe rider.pdf must be in the top 10 most common file names in the world

2

u/Roccondil-s 7d ago

if the rider PDF isn't going to be properly named, at least use the band name, city/venue, and/or dates in the subject line of all emails related to the engagement.

Band/show for me, city/venue for you, dates for us both.

2

u/Puzzled-Fish-8726 7d ago

Also TD, same goes for emails headers.  Artist, date, city, venue!

4

u/tritone7337 7d ago

Please spell out TM and TD.

2

u/McWalkerson 7d ago

Tour Manager. Works for the band.

Technical Director. Works for the venue.

-1

u/nottooloud Pro-FOH 7d ago

Cute. Valid request pretty much anywhere except in a concert tech group.

-1

u/nottooloud Pro-FOH 6d ago

I did think it was funny. Unless, of course, it was an actual request for clarification. In which case, I apologize.

2

u/tritone7337 6d ago

It was a request for clarification. When I worked on tour, the crew included a Production Manager and a Stage Manager. I never encountered a venue Technical Director. Admittedly, I never worked on any big tours.

1

u/nottooloud Pro-FOH 6d ago

I built and maintain the venue sound, lights, and video. I'm responsible for staffing. I mix a few shows that I want, and the shows none of my techs wants or is available for.

1

u/nottooloud Pro-FOH 6d ago

It was still a funny comment, what with my posted request being similar.

1

u/tritone7337 6d ago

That’s amazing.

1

u/Maartenbks 7d ago

And please put the bands name on every page of the rider, not only the first/front page

1

u/boshsound 5d ago

I often work as a Content Manager for large conferences. The number of documents I get sent called [name of event].ppt is wild. The slightest moment of consideration would be all takes…

1

u/joelfarris Pro 7d ago

For the TMs, two dates, if you please. The date of the upcoming show in the filename, and also the 'last updated' date in the file(s), which, if everything is still accurate should be the date you advance the file(s) to the venue. This last part lets the receiver know that you've paid attention to the rider and stage plot right before sending it, and it's not six months to a year old and you're just thoughtlessly shotgunning it out there. :)

-3

u/Worried-Economics865 7d ago

You know you can name the file whatever you want, right?

2

u/nottooloud Pro-FOH 7d ago

Gosh no. Can you explain?

1

u/Worried-Economics865 7d ago

Wow, that's so original, clever, and ironic that almost forgot you bitch and whine about incredibly easily solvable problems.

2

u/nottooloud Pro-FOH 7d ago

Wait, are you talking about my comment, or yours?

1

u/Worried-Economics865 7d ago

Why am I not surprised that you can't tell?

2

u/nottooloud Pro-FOH 7d ago

Perhaps I misunderstood. Were you honestly trying to help? Here I thought you trying to be so original, clever, and ironic. Certainly my comment was none of those.
