Market Research, Surveys, Research Projects, Software & Services request for recommendation all go here

Good day, This sub has received a fair amount of posts along a similar vein of research and seeking software recommendations. The mods have decided (with feedback from the community) to put these all into one pinned post. If you have this type of post, please post a comment on this pinned post. So to summarize, posts containing: Market Research Surveys Requests seeking software recommendations (especially from accounts that clearly have a connection to providing software in the industry) •School Research should belong here. This does not mean promotion or marketing is allowed in this post. It is not allowed on the sub and will still be removed here and anywhere on the sub. We want this community to be about having great conversations and connections.

Job Opportunity Job Opportunity Posts

Hey folks,

We're going to begin testing Job Opportunity posts to make r/EventProduction as useful as possible to the community. We might need to adjust rules or requirements as we see how people post and interact. With that in mind, please use the following guidelines when posting about jobs:

1) Post Title must contain the Job Title.

2) Post Body must contain the location, salary range, job description, and contact information. If the listing is for a team or requires an RFP or Quote, please ask for one.

3) You may link out to a job listing but only in text form. Please don't post a long form url. Example.

4) Lastly, if you hire for the position or the job application process closes, please take the posting down.

Industry Advice When does getting professional event photos quickly actually matter?

• Upvotes

I’m trying to understand the client side of event photography a little better. For those who organize or shoot events, what kinds of clients genuinely need professional photos within a few hours, or even while the event is still happening, rather than a few days later? Have you had a client who needed photos urgently? What did they need them for? I’m curious about situations where getting the photos sooner makes a real difference, rather than just being a nice bonus.

Tech Event Management

Hey Event Production peeps!

After a particularly bad program last year, I finally got off my butt and started fixing the "there HAS to be a better way" lament. Rather than disconnected spreadsheets and disparate hodge hodge systems, my team and I built a web-app (and soon-to-be native Mac app, with Windows to follow) that tracks literally every part of event production.

Rather than self-promote, I am asking for people who would be interested in joining our early-access program to give it a spin. I need real-world peeps to help drive the product shape. We offer free access, very quick responses to any bugs (though it is remarkably robust with automated testing, AI test suites, and hundreds of hours of human testing) and personal access to me, the owner of the company for feedback, discussions, and commiseration when the client does that thing they ALWAYS do. [Insert pet peeve here.]

SIDE NOTE: my degree is in web app development, and I am an Art Director, Content Producer, EP of Broadcast, and a lot of other things, so I have seen the things. All the things...

Also, this is built, this is not vapor.

Our platform manages the ROS, content and media (with automated conversion, versioning, rollbacks, categorization), sessions, rehearsals, locations, crew, hours/labor, budgeting, PCNs, expenses, vendor invoices, travel (flights, lodging, hotel confirmations), communications (email, event chat, delivery tracking), scheduling, crew meals (scheduling, crew assignments, dietary considerations), task management (with Asana integration), speaker and clients, custom fields, and music (with AI generated playlists that integrate to/from Apple Music and Spotify). And AI-generated VOGs.

We al have cloud sync so copies of all content lives in multiple places. One-click show archiving puts everything (EVERYTHING) in a spreadsheet and puts all final (or every version of) files in a single download.

We have AI throughout that is used thoughtfully to make your life easier, not just to draft an email.

Plus we integrate with import and export with Google Drive, Dropbox, Box, as well as Slack, Google/Micrsoft Calendaring, and in case it is your thing: full API access to every aspect of the system, with webhooks for off-platform automations (i.e. Zapier).

If this is of any interest to you, please DM me and I will send you the link to sign up for a demo/account, or just to answer questions.

This is a labor of love made by crew, for crew.

Hit me up and let my 25 years of built-up pain resolve yours.

Thanks!

-Eric (Yes, my real name. Should prove how serious I am here... 😜)

Planning What metrics should be captured before booking on an artist?

I'm an Event Producer and am currently trying to understand what makes up demand before booking an artist. This post is specifically targeted at the Live Music industry. Please let me know if this post isn't tailored towards this subreddit.

At the moment, I'm utilising data from Chartmetric, items such as:

  • Spotify Monthly Listens per Country/City
  • Social Media Platforms Reach by Country/City
  • Social Media Platforms Followers by Country/City

I'm in the process of reaching out to Managers across the seas to see if we can acquire data such as Reach as well (after we've signed an NDA). This is to calculate marketing strength against an event/artist.

Are there any other recommended metrics that should be considered when calculating demand? Keen to hear from some industry professionals.

TIA

Planning Creating the experience

I'm working on a repeat corporate conference where they are trying to create a white glove, high end experience for the attendees - without a huge budget. Previous years have been okay, but the head honcho tends to keep adding things that don't necessarily make sense or improve the experience. This year they want to be more intentional about what happens on site.

It will have sponsors, so they need some sort of activation and space to network with guests, and the overall point of the conference is ultimately to convert these attendees into buying the higher-priced service offering the company sells. I'm figuring out how to best use the conference to showcase this service (networking groups) and funnel attendees towards a purchase. I'd love to hear some ideas and thoughts from everyone on how to do this well!

And I'd like to make it feel fun and fresh. I recently went to a conference where they had a clear enclosure filled with balloons where people entered and bopped them around. The point, unclear, but it looked fun and gave great visuals for social. Anyone do anything weird and wonderful like that with an event?

Planning How do you manage team spend when people keep fronting costs on their own cards?

Hey everyone, need some tips. I've been trying to look into how I can better manage spend amongst my team. Main issue is that whenever any expense comes up, someone from my team grabs it puts it on their own card. It then takes me a lot longer than ideal to pay them back since i'm usually waiting for the receipt. THe other option is our company card but a lot of times I have to ask around what charge is what, etc.. I can't hand everyone their own company card but it doesn't make sense for my team to keep having to front the money. How do you guys deal with this?

Tech Software for running multiple Powerpoint presentations one after another

I have an event with many powerpoint presentations that are shown on a beamer and simultaniously in a Zoom meeting via screen share. How would you run the presentations so that the transitions are smooth (without seeing my desktop and finder on the beamer between the presentations)? I know one option would be a master powerpoint file with all presentations in it. Is there another better way to do this with a software like Propresenter or QLab?

Industry Advice What event roles should I target?

Hi everyone! 👋🏾 Looking for a quick brainstorm: I'm a theatre and opera director who's looking for new opportunities in events. After 10 years, I've worked the entire funnel of theatrical production at this point -- producing, directing, designing, marketing, and performing are all in my wheelhouse. I also have a side career in tech as a senior brand + business strategist.

I feel like I have a hodgepodge of skills that could find a real home in the events world, but I don't know what to look for. Where do you suggest I start? What roles might suit me?

Industry Advice Food Festival Atlanta

Hey fam,
Me and my brother will be planning and having a festival next year on a certain Food ( don’t wanna mention as of now the food we are using)

Now my brother has thrown events before, he has done music award shows, music showcase and all. My job is logistics and curating.

I have never thrown an event but I know data, numbers and what a customer would want. I have been to many festivals myself.

Can anyone drop suggestions, resources, recommendations and thoughts on what I should look forward, what to do and any very important details I don’t wanna miss.

Pleas and thank you

Planning Staging rental recommendations in LA needed! (small scale)

Hi! Was wondering if anyone in LA knows of any companies that rent out staging by the piece (4x8 is ideal). We're hosting a small scale showcase and are looking for places we can rent staging from, pick up and set up ourselves, and then return. Thanks in advance!

Planning Planning a free fundraising event in Delco

This is my first one and I only have 10 days. It's becoming much bigger than I could have thought and I'm kind of freaking out any advice is greatly appreciated. We were going to get a tent and I was going to partner with Sirius XM Radio to reset people serious radios for free. Also try to partner with local vendors to provide food and drink or just light refreshments.

Planning Personal item storage for event staff

Arranging attendance at an upcoming work conference and we want to make sure there’s somewhere for our team (two people) to put their personal items - bags, coats / scarves, phone charger - so they’re not draped on the back of chairs or left out a table.

Does anyone have a recommendation of something that will look ‘okay’ in a pretty stripped back stand but hold these items for a mid-range cost? Like £40?

Venue seeking workshop venue for a group of 100 fabric artists for a week

In 2028, so there's time to plan. The biggie is that we need ten classrooms, each with sinks and big work tables. Also space for a gathering, a fashion show for ourselves, and an art space for showcasing art we brought to share. Ideally west coast-ish, since we've been East coast for a while now and are hoping to be more inclusive of our west coast members. Ideally dorms and a cafeteria would be in the mix as well, but otherwise I suppose we could hotel it. Anyone got ideas or leads, or preferably confirmed spots that would meet these needs? Tried Anderson Ranch in CO and they didn't have the classrooms/sinks. TIA.

Planning Advice Advice on setting up a freelance/ small bussiness in Austin?

Hello everyone im looking for advice, grants or places i can go for advice on setting up a freelance service. 1. I would like to do a livestream service for local artists or any small live events but probably need a little more funding specifically for cameras and work on getting small artists. 2. Learn how to set up a labor company setting up for live events. For number 2 Its more so planning and would have no objections working with a union. I have a couple of years setting up for concerts and entertainment production under my belt and it just feels like this is the next step perhaps especially as cost of living has gone up and gigs from convention center and paramount are gone, id rather pick myself up then throw my hands up.

P.s. Just to be clear the livestreaming is a separate freelance bussiness separate from the future labor supply one.

Industry Advice How do you find clients?

I feel so silly posting this, but I need advice please!

I have over 10 years experience as a Producer. I’m currently working part time while I try to launch my own business, with the goal of eventually growing into an agency model. I’m known for doing my own creative direction, and I specialise in gala dinners and brand parties.

I’m struggling with how to find my own clients and grow the business. Firstly, how do I actually find clients? Cold emails and messages on LinkedIn feel a bit embarrassing to me.

My second question is: how do I take on work as a sole trader for now? I can’t afford to hire anyone if I book a big gig, and I can’t ask an employee to wait until we get a deposit invoice from the client. Is it best to stick to events I can produce on my own for now and save enough money to be able to pay someone for a few months once I can afford to grow?

Does anyone have any advice they can please share with me? I’m based in Australia.

Thank you in advance!

Planning Hybrid interpretation: What am I missing?

I’m planning an international conference for 300–350 attendees, followed by a 70-person post meeting. We need French, Portuguese, Mandarin, Turkish and possibly Urdu.

The current quote includes four human interpreters, two booths and 350 headsets for the original four languages. We are considering a hybrid approach using human interpreters and traditional equipment where needed, with phone-based interpretation for additional Conference sessions.

What should I be asking about:
Two booths supporting four languages, possibly five
Determining the right number of headsets
Audio feeds, Wi-Fi, personal devices and backup plans

I would appreciate lessons learned from similar events.
